As a member of the Human Resources team, the HR Coordinator will provide comprehensive support to the Human Resources department. This opening will play a key role in creating a positive employee experience, maintaining a pleasant work environment, and ensuring high levels of organizational effectiveness and timely communication – both with internal and external partners. This role will have the chance to see the company’s inner workings and will be the ambassador of our recruitment process. The position will interface with employees at every level of the company, including the executive leadership team.
Responsibilities
- Oversee the maintenance of data integrity across HR platforms and tools, including updating and maintaining employee related data and maintaining our digital employee file system in our HRIS software (Workday)
- Create new and manage existing document templates, ensuring templates are updated, saved, and distributed as needed
- Coordinate and schedule a high volume of interviews across multiple departments
- Offer front line support to candidates throughout the interview process
- Assist with the updating job postings for all active roles
- Collaborate with the HRBP team to improve the efficiency of recruiting processes
- Conduct reference checks, initiate background checks and other pre-employment processes, as necessary
- Verify I-9 documentation and complete I-9
- Schedule new hire orientation for all employees, maintain new hire presentations and supporting materials (background checks, contact cards, headshots, bios, etc.)
- Perform customer service functions by answering employee requests and questions such as completing employment verification letters
- Coordinate employee milestone programs and assist with planning office events as needed
- Create and send monthly newsletter to employees
- Update and maintain organizational charts
- Support intern recruiting and assist with intern programs
- Manage State and Federal Labor Law posters for the office
- Assist in various HR ad-hoc projects
Requirements
- Bachelor’s Degree
- 1-2 years of experience in a relevant role
- Experience in a fast-paced environment and the ability to adapt quickly
- Must have excellent written and verbal communication skills with the ability to engage professionally and succinctly with all levels across the organization
- Must have high standards of customer service
- Proficient with Microsoft Office Suite applications including Word, Excel, PowerPoint and Outlook
- Experience with Workday is preferred
- Exceptional organizational skills and attention to detail, including the ability to multi-task and manage multiple initiatives at once is required
- Must have the ability to exercise good judgement in a number of situations and maintain privacy around confidential information
- Must be humble and a team player
