We are seeking a dynamic and dedicated Permanent Office Assistant to join our team in the Construction industry. This is an exciting opportunity to work in a fast-paced, challenging environment where you will play a key role in the daily operations of our company. The ideal candidate will have a strong administrative background, exceptional organizational skills, and the ability to multitask effectively. This role requires a minimum of 2+ years of experience in a similar position.

Responsibilities

As a Permanent Office Assistant, you will be responsible for a wide range of tasks, including but not limited to

  • Managing and organizing all office files and documents, ensuring they are up-to-date and easily accessible.
  • Answering incoming phone calls, directing calls to appropriate personnel, and taking detailed messages when required.
  • Providing administrative support to the team, which may include scheduling meetings, preparing reports, and maintaining records.
  • Assisting with the preparation of project documents, including contracts, proposals, and bids.
  • Coordinating with various departments to ensure smooth workflow and efficient communication.
  • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times.
  • Supporting project teams by coordinating with suppliers, contractors, and clients as required.
  • Assisting in the preparation and processing of invoices and billing statements.

Qualifications

The successful candidate for the Permanent Office Assistant position should possess the following qualifications

  • A minimum of 2+ years of experience in an administrative role, preferably within the construction industry.
  • Proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Exceptional organizational skills and the ability to manage multiple tasks simultaneously.
  • Strong communication skills, both written and verbal, with a professional phone manner.
  • High attention to detail and accuracy.
  • The ability to work both independently and as part of a team.
  • Knowledge of standard office administrative practices and procedures.
  • A proactive approach to problem-solving with strong decision-making skills.
