JOB DESCRIPTION

Rahua is an innovative, ultra-sustainable prestige beauty brand that is actively seeking an Operations Coordinator. We are looking for a highly detail oriented and passionate Ops Coordinator.  This role will play a pivotal role in ensuring that all orders from retailers and customers are fulfilled and being properly accounted for. This role spans both U.S., UK and EU retailers and DTC customers. The perfect person is looking and eager to use their organization skills and are highly detail oriented to ensure all orders are met correctly and on-time. They’ll be responsible for ensuring all requirements are met to ship orders including warehouse requirements, shipping documents, and more. This role also includes supporting the sales team to provide order status updates and supporting retailers directly as needed. This role will be an exciting opportunity to help a global business grow and meet demand.

 

KEY RESPONSIBILITIES: 

 

  • Real time processing and entering sales orders in Shopify and NetSuite
  • Processing EDI orders using SPS portal; including creating ASN labels and invoices
  • Creating shipping documents for international shipments (e.g. CUSMA, Commercial Invoices, SLI’s)
  • Booking delivery appointments using vendor portals
  • Creating UPS and DHL shipments for parcel orders and scheduling collections for freight shipments
  • Liaising with warehouses to ensure order requirements are clear and providing instructions for the orders that require special handling
  • Setting up and updating customer information in systems when needed
  • Preparing monthly invoices for EU accounting
  • Preparing sales and activity reports, monthly VAT submissions
  • Maintaining order forms as needed
  • Supporting B2B customers with brand and product assets
  • Timely follow up with B2B customers, credit memos, tracking numbers and general service to the customer
  • Support Sales Team in the USA and Europe: order status, providing tracking info, monitoring delivery times, etc.
  • Customer care for retailers: following up on orders, payments, sending out replacements as needed
  • Providing administrative support to the Rahua team as needed

Requirements: 

  • 1-2 year of professional experience and proven success working in a remote environment
  • Strong communicator verbal and written.
  • Highly organized
  • Terrific attention to details
  • Proficient in Google Suite, Microsoft Office
  • Enthusiastic willingness to learn and contribute to a wonderful team.
  • Knowledge of NetSuite / Shopify / EDI a plus

Benefits & In-office Requirements

  • The anticipated base salary range for this position is $65,000-$75,000 Exact salary depends on several factors such as experience, skills, education, and budget.
  • This role is remote
