Job Description
Coordinating the sales team by managing schedules, filing important documents, and communicating relevant information. Ensuring the adequacy of sales-related equipment or material. Responding to complaints from customers and giving after-sales support when requested.
Responsibilities
- Coordinate and collaborate with another department on sales-related matters.
- Arrange to purchase MOH and CTC tenders with instructions from the department head and concerned salesperson.
- Coordinate for inquiry and tenders with suppliers/ principals for details regarding prices, the validity of prices, delivery time, and other components necessary to quote to clients.
- Undertake accurate costing of the inquiries/ tenders, and get it signed by the Account holder/ BU Leader.
- Preparing and submitting Quotation and tender.
- Arranging Performance bank guarantees for tenders/contracts.
- Provide necessary follow-up for quotations and tenders with a price validity extension and bank guarantee extension per the customer’s requirement.
- Arrange all documents for quotations and tenders with a price validity extension and bank guarantee extension per customer requirement.
- Register all inquiries, tenders, and orders in electronic sheets.
- Prepare sales order and forward the same along with all relevant documents such as order costing and contract review form to order processing for placing the order.
- Follow-up with order processing for timely placement of an order, receipt of an acknowledgment for order placed.
- Prepare the order processing for stock and demo items with the instruction of the department head and provide supporting documents to the order processing department to place the order to the supplier.
- Provide all the information related to the order for the stock items to the stores and arrange for delivery by coordinating with stores.
- Prepare invoice for orders for MOH as per contract.
- Arrange documentation for equipment and installation for order items and coordinate with the service department to complete the same.
- Follow-up with the service department for installation report and submit to the accounts department upon receipt of the same.
- Prepare monthly sales report (DSR) for the department head.
