Office hours are Monday-Friday, 9am-5pm with a 1-hour lunch.
Key Responsibilities:
- Handle complex diary management and meeting coordination for internal and external stakeholders, including Board members.
- Ensure all necessary documentation is prepared ahead of meetings.
- Manage multi-stakeholder meetings involving various time zones, room bookings, conference calls, and video conferences.
- Prepare detailed and sometimes intricate itineraries, visa arrangements, and compliance with all Bank policies.
- Manage the Executive(s) travel expenses, ensuring compliance with firm policies on documentation, expense limits, out-of-policy expenses, and employee reimbursements.
- Demonstrate a proactive understanding of relevant compliance and control policies.
- Provide extensive telephone coverage, arrange couriers and taxis, and handle ad-hoc projects as needed.
- Prepare agendas and gather presentations for management meetings and off-site activities. Ensure all necessary documentation is available before meetings.
- Act as a gatekeeper, managing priorities in person and over the phone.
- Handle confidential information with professionalism.
Key Skills/Experience:
- Working in a business support or business management role or as a senior administrative assistant.
- Some experience in processing business-related data to provide insight and allowing analyses
- Working in the financial sector is preferable.
- Experience of working with board level executives is an advantage.
- Working on multiple business initiatives and events
- Some Project management experience will be a plus.
