Purpose of the Role
The Analyst, Strategy & Operations will support the work of the MBK Alliance Strategy & Operations team. The Strategy & Operations team is responsible for supporting the effective operation of the MBK Alliance team’s goals and objectives. Reporting to the Deputy Director, you will ensure that MBK Alliance team members are informed on team norms, reporting, tools, and procedures.
Core Job Responsibilities
- Administration: Manage and support the team calendar, administrative and event logistics, expenses, files, meeting materials (slide decks, agendas, and notes) and coordinating next steps
- Project Management: Support the team’s activities and milestones in accordance with established MBKA and Obama Foundation procedures
- Program Operations: Track communications to MBKA team, partners, vendors and and logistics for special events and retreats; communicate with vendors to ensure Foundation protocols are met and communicated
- Research: Conduct research to support the MBK Strategy & Operations team’s project plans and the engagement with external partners and speakers.
- Knowledge Management: Retain and track all MBK Alliance templates, strategy and promotional materials, standard operating procedures
- Perform other duties as assigned.
Key Deliverables / Outcomes
- Organized administrative support of the Deputy Director, Strategy & Operations, and all meeting requests are responded to within 24 hours
- Accurate tracking and facilitation of the Deputy Director, Strategy & Operations’ travel arrangements and expenses
- Accurate record of final documents related to team meetings (agendas, notes, pre-reading, presentations, talking points), promotional material (one-pagers, presentations)
- Accurate record and distribution of MBKA materials and special mailings to MBK communities, partners, and donors.
- Accurate tracking and facilitation of the internal processing and approvals of non-monetary agreements/acknowledgements and Foundation vetting procedures
- An updated team file management system with a documented process for filing and archiving creating an easy-to-find system for the MBKA team
- An updated team project plan in Asana
Required Qualifications
- Demonstrated ability to manage the schedule and support task tracking for senior executives in a fast-paced environment
- Demonstrated experience in project and event management coordination
- Demonstrated agility to secure and deploy resources effectively and efficiently
- Ability to optimize work processes to get things done, with a focus on continuous improvement
The salary range for this role is between $51,965 and $64,980.
