Personal Assistant to the CEO

Overview:

We seek a highly organized and proactive Executive Assistant to support our CEO comprehensively. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and able to work independently and professionally under pressure. This pivotal role requires excellent communication skills, meticulous attention to detail, and the capacity to handle complex schedules and confidential information with discretion.

The hiring company is an EPC company with 250 employees in Kuwait.

Location:

The position is in Kuwait City – Kuwait

Key Responsibilities:

  • Manage and maintain the CEO’s calendar, including scheduling appointments, meetings, and travel arrangements.
  • Provide a bridge for smooth communication between the CEO’s office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Prepare and edit correspondence, reports, and presentations.
  • Organize and attend meetings and ensure the CEO is well-prepared for meetings.
  • Handle confidential documents and information with discretion.
  • Provide quality customer service to both internal and external stakeholders.
  • Assisted with project management and executed administrative tasks as needed.
  • Organize Travel arrangements for the other top executives of the company (Group CTO, Group Project Director, Group Director Support Functions)

Requirements:

Must-Have:

  • Five years experience as an Executive Assistant of a CEO.
  • Exceptional command of the English language, both written and verbal.
  • Strong organizational skills with the ability to multi-task and prioritize work.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneDrive, and SharePoint).
  • Excellent time management skills and the ability to work to tight deadlines.
  • Adept at quickly learning new processes and technology systems as needed.
  • High level of discretion and confidentiality.
  • Ability to effectively communicate and collaborate with a range of personalities.
  • Bachelor’s degree in business administration or related field.

Should Have:

  • Experience in liaising with senior executives.
  • You can request e-signatures with Adobe Acrobat from multiple people in an order.
  • Strong problem-solving skills and analytical abilities.
  • Professional level of personal presentation and demeanor.
  • Experience with arranging complex travel itineraries and organizing events.

Nice to Have:

  • Proficiency in Arabic or prior experience working in a bilingual environment.
  • Familiarity with the culture and business etiquette of the Middle East.
  • Previous experience in a multinational corporation or in the Kuwaiti business landscape.

What We Offer:

  • Salary of KWD 1,000 per month; annually, KWD 12,000
  • 30 days of vacation per year
